Why We Built Provvio: From Missed Inspections to Automated Proof
Provvio Team
February 3, 2026
Every product starts with a frustration. Ours started with a phone call about a missed garden maintenance visit that wasn't actually missed.
The Problem We Kept Seeing
Before Provvio, we spent years working in and around field service businesses - landscaping, commercial cleaning, facility maintenance. And we kept seeing the same pattern everywhere:
- A crew does their job
- Nobody on the client side sees it happen
- Someone questions whether it happened
- The business owner scrambles to prove it
- Trust erodes, even when the work was done perfectly
It didn't matter if the business was in suburban Melbourne, regional Queensland, or downtown Houston. The pattern was universal. The tools were universal too: paper sign-in sheets, WhatsApp messages, and hope.
The Breaking Point
The moment that crystallized the idea was watching a landscaping company lose a $45,000 annual contract. Not because of poor work - their work was excellent. But because the property management company did an audit, asked for 12 months of service records, and all the landscaper could produce was a spreadsheet of dates and a folder of unlabeled photos on someone's phone.
The property manager's response: "We need a provider who can document compliance properly."
The landscaper was devastated. He'd maintained that property beautifully for three years. But he couldn't prove it.
Why Existing Tools Didn't Work
We looked at what was available. There were plenty of field service management platforms - job scheduling, invoicing, CRM. But they all treated proof-of-service as an afterthought. A checkbox here, an optional photo upload there.
The problems we found:
- Too complex: Enterprise platforms designed for companies with 500+ employees and IT departments. A 15-person cleaning crew doesn't need Salesforce-level complexity.
- Not mobile-first: Built as web apps with mobile "companion" apps that were clunky and slow.
- No client-facing output: Great at internal tracking, terrible at actually showing proof to clients.
- Expensive: $200-500/month minimums priced out most small and mid-size service businesses.
We realized the market needed something different: a tool built from the ground up for proof-of-service, designed for field crews who have 30 seconds (not 30 minutes), and priced for businesses with 5-50 employees.
What We Built
Provvio started with three core principles:
1. Proof Is the Product
Not scheduling. Not invoicing. Not CRM. Proof. Everything in Provvio exists to answer one question: can you prove your team did the work? GPS check-ins, timestamped photos, digital checklists, and automated reports - all focused on generating and delivering irrefutable evidence of service delivery.
2. Speed Over Features
We cut everything that slowed down the field experience. Quick Check-In takes under 30 seconds. Photos are captured in-app with automatic tagging. Reports generate themselves. We measured every interaction in seconds and killed anything that added friction.
3. The Client Sees It Too
Most field service tools are internal. The client never sees the data. Provvio was designed with client delivery in mind from day one. Automated emailed reports, client portal access, and real-time visit notifications. Your client should know you showed up before they even think to ask.
Where We Are Now
We launched Provvio with support for the three industries where proof-of-service matters most:
- Landscaping - Property maintenance crews proving visits and work quality
- Commercial Cleaning - Night crews proving attendance and task completion
- Security Patrols - Guard teams proving routes, checkpoints, and incident coverage
But the platform is built for any recurring service business where "did you show up?" is a question that needs answering. Pest control. Fire protection. Pool maintenance. Building inspections. If your team goes to a site and does work that someone else needs to verify - Provvio is for you.
What's Next
We're just getting started. Our roadmap includes deeper integrations (Xero is already live, with more accounting and job management platforms coming), AI-powered anomaly detection, and enhanced compliance reporting for regulated industries.
But the core mission stays simple: make it effortless for service businesses to prove they did the work. Because no business should lose a contract over something they can't prove.
