Questions
What should an HVAC service report include?
Include the site, unit or asset identifier, service date, technician, work completed, readings taken, parts used, photo evidence, faults found, and recommended follow-up. For contract maintenance, also record the scheduled task list you worked through.
Can I use this for maintenance contract records?
Yes. The PDF is a useful per-visit record to file against a maintenance agreement. Where a contract specifies particular checklists, readings, or refrigerant handling records, keep those with the report as your regulator or agreement requires.
Why do HVAC reports need photos?
Photos of a filthy filter, a corroded coil, or a pitted contactor sell recommended work far better than a written note. They also prove that a routine service was genuinely performed on a unit the client never sees.
