Active vs archived sites
Sites in provvio have two statuses: Active and Archived. Use them to keep your sites list focused on places you currently service while preserving the history of places you don't.
Site Status Options
Active
The default status for sites in regular use:
- Site appears in all lists and is selectable in the mobile app
- Team can check in and complete visits
- Counts towards your active sites in dashboard stats
Archived
Use when a site is no longer in active service:
- Site is hidden from the mobile app and most dashboard views
- Cannot be checked into - blocked at the API level
- All historical visit records, photos, and reports remain intact
- Perfect for ended contracts, closed locations, or seasonal sites you'll bring back later
How to Change Site Status
- Go to Sites in the sidebar
- Open the site you want to modify (or use bulk actions on the list view)
- Click Archive or Unarchive
When to Archive Sites
Archive sites when:
- A client contract has ended permanently
- A location has closed or moved
- A site is seasonally inactive and you don't want field staff seeing it in their list
Viewing Archived Sites
By default, archived sites are hidden. To see them:
- Go to Sites
- Use the filter options
- Toggle Include archived on
Tips
- Archive instead of delete - you keep all the visit history
- If you bring a site back, just unarchive it. Existing checklist assignments and contacts come with it.
