How to add crew members and set permissions

Adding team members to provvio lets your crew check in to jobs, complete checklists, and submit visit reports from their own devices.

How to Invite a Team Member

  1. Go to Team in the sidebar
  2. Click Invite Member
  3. Enter their email address
  4. Select their role (Admin, Office, or Field)
  5. Click Send Invitation

The team member will receive an email with a link to create their account and join your organisation.

Roles Explained

provvio has three team roles (plus the Owner). Choose the right one based on what each person needs to do:

  • Admin: Full access to everything - dashboard, settings, billing, branding, team management, and the mobile app. Best for business owners or managers who need complete control.
  • Office: Dashboard access for day-to-day operations - can manage sites, clients, jobs, visits, and reports. Can also use the mobile app for check-ins. Cannot access billing, branding, API keys, or manage team members. Perfect for office staff, coordinators, or dispatchers.
  • Field: Mobile app only - can check in/out of jobs, complete checklists, take photos, and view assigned work. Cannot access the web dashboard, settings, or billing. Ideal for technicians, cleaners, gardeners, or anyone doing the fieldwork.

Tip: Use the Office role for staff who need to see the big picture and manage schedules, but shouldn't have access to billing or company settings. Use Field for anyone who just needs to do the work on-site.

Changing Roles

Admins and Owners can change a team member's role at any time:

  1. Go to Team in the sidebar
  2. Click the menu next to the member's name
  3. Select the new role (Admin, Office, or Field)

Role changes take effect immediately.

Managing Pending Invitations

You can see all pending invitations in Team. From here you can:

  • Resend an invitation if the email was missed
  • Cancel a pending invitation

Tips for Your Team

  • Make sure team members download the provvio mobile app for the best field experience
  • Team members only need their email and password to log in, no special codes or setup
  • Each team member needs their own account. Don't share logins.
