How to add crew members and set permissions
Adding team members to provvio lets your crew check in to jobs, complete checklists, and submit visit reports from their own devices.
How to Invite a Team Member
- Go to Team in the sidebar
- Click Invite Member
- Enter their email address
- Select their role (Manager, Billing Admin, or Field)
- Click Send Invitation
The team member will receive an email with a link to create their account and join your organisation.
Roles Explained
provvio has four roles. The Owner is whoever created the organisation. The other three are assigned at invite time and can be changed later:
- Manager: Full operational control - dashboard, settings, branding, team management, all visits, clients, sites, checklists, reports, and the mobile app. The right role for ops leads and senior staff. Cannot manage subscription billing (that's reserved for the Owner and Billing Admin).
- Billing Admin: Day-to-day visibility plus subscription billing. Can view all visits, clients, sites, and reports, mark visits as invoiced, and approve client-facing reports. Cannot edit visits, clients, sites, or checklists, and cannot manage the team. Good for office managers, bookkeepers, or coordinators handling invoicing.
- Field: Mobile app only. Check in/out, complete checklists, take photos, view assigned jobs and personal history. Cannot access the web dashboard. Ideal for technicians, cleaners, gardeners, or anyone doing the work on-site.
Tip: Most field workers only need the Field role. Use Manager for anyone who runs schedules, sites, or clients on the dashboard. Use Billing Admin when someone handles invoicing but shouldn't be editing operational data.
Changing Roles
Owners and Managers can change a team member's role at any time:
- Go to Team in the sidebar
- Click the ⋮ menu next to the member's name
- Select the new role
Role changes take effect immediately.
Managing Pending Invitations
You can see all pending invitations in Team. From here you can:
- Resend an invitation if the email was missed
- Cancel a pending invitation
Tips for Your Team
- Make sure team members download the provvio mobile app for the best field experience
- Each team member needs their own account. Don't share logins.
- Each active member uses one seat on your subscription, adjust seats from Settings → Billing
