Setting Up the Client Portal

Inviting contacts to the portal (Pro)

Note: The client portal is available on Pro.

The client portal gives your clients a way to view their visit reports, photos, captured visit proof, and service history. It's a great way to build trust and reduce "did you come today?" emails.

1. Enable the Portal for a Client

  1. Go to Clients
  2. Open the client
  3. Toggle Portal Access on

This generates a portal token and unlocks portal access for that client's contacts.

2. Set Branding (Optional)

Go to Settings → Branding to upload a logo and choose primary and accent colours. Your branding is used automatically on the portal, in client-facing emails, and on PDF reports. With white-label on, the Provvio attribution is removed everywhere.

3. Invite a Contact

  1. Open the Site for that client
  2. In Site Contacts, find the contact
  3. Click Invite to Portal
  4. They receive an email with a link to set their portal password

What the Client Receives

The invitation email includes:

  • A link to create their portal password
  • Your branding (Pro)
  • A short explanation of what the portal provides

What's New in the Portal

The portal now shows captured visit proof - photos by category (before / during / after), GPS check-in/out data, and checklist completion - so clients see the full record of each visit, not just a summary.

Tips

  • Invite key client contacts to reduce ad-hoc reporting requests
  • The portal is mobile-friendly, so clients can check reports from their phone
  • You can invite multiple contacts per client for stakeholders who need their own view
