Client Invoicing

Mark visits as invoiced to your clients

The Client Invoicing page (in the sidebar as Billing) is for tracking which completed visits you've already billed your clients for. It's separate from your provvio subscription billing.

Accessing Client Invoicing

Go to Billing in the sidebar. You'll see a table of completed visits with filters for:

  • Date range
  • Client and site
  • Team member
  • Invoiced status - billed or unbilled

Marking Visits as Invoiced

  1. Filter to the visits you've just billed (e.g. "this client, last month, unbilled")
  2. Select the visits
  3. Click Mark as Invoiced

provvio records the date and which user marked them, so you have a clean trail of which visits have been billed and when. You can also unmark a visit if you billed it by mistake.

Common Workflows

  • Month-end run - filter by client, date range, and *unbilled*; export the list, generate PDF reports, raise an invoice in your accounting system, then come back and Mark as Invoiced in bulk.
  • Per-job billing - for one-off jobs, mark each visit as you bill it.

Tips

  • Combine with Compliance Audit Trail to be sure only verified visits are billed
  • Use Required report approval on clients where the client signs off before you bill
  • Visit-level invoiced status doesn't push to your accounting system - provvio is the system of record for *what was done*; your accounting tool stays the system of record for *what was billed*
