Switching between Essentials and Pro

You can change your provvio plan, seat count, or billing interval at any time. Here's how it works.

How to Change Your Plan

  1. Go to Settings → Billing
  2. Click Change Plan
  3. Choose Essentials or Pro
  4. Optionally adjust seats and billing interval (monthly or annual)
  5. Confirm

Changes take effect immediately, and billing is prorated.

Upgrading from Essentials to Pro

When you upgrade:

  • Pro features unlock right away (client portal, branded and white-label PDFs, SMS, advanced analytics, compliance audit, active crew map, report templates)
  • You're charged a prorated amount for the rest of the current period
  • The next invoice reflects the new price

Downgrading from Pro to Essentials

When you downgrade:

  • The change applies at the end of the current billing period
  • Pro features keep working until then
  • After the period ends, Pro-only data (e.g. portal access, SMS) is paused, not deleted - re-upgrade and it comes back

Changing Seats

You can increase or decrease seats independently of plan:

  1. Settings → Billing
  2. Adjust seats
  3. Confirm - billing updates immediately with proration

If you reduce seats below your current active member count, you'll be asked to deactivate members to fit the new seat count before the change applies.

Changing Billing Interval

You can switch between monthly and annual billing on either plan. Annual is roughly 17% cheaper per seat.

Tips

  • Run your trial on the plan you actually want, so your evaluation matches reality
  • If you're not sure about Pro features, upgrade for a month - the prorated cost is small and you'll know quickly whether the portal and analytics earn their keep
