Scheduling Jobs
One-off and recurring job scheduling
Schedule jobs in advance so your team knows where they need to be and when. provvio supports one-off jobs and recurring schedules.
Creating a One-Off Job
•Site: Select the site
•Service type: Optional, drives the checklist if set
•Frequency: Choose One-off
•Date and expected arrival time: When the job should be done
•Estimated duration (minutes): How long you expect it to take
•Assigned to: Which team member(s)
•Checklist: Auto-filled from the site or service type, override if needed
•Notes: Any special instructions
- Go to Schedule in the sidebar
- Click Add Job
- Fill in the details:
- Click Save
Creating a Recurring Job
For jobs that repeat on a schedule:
•Daily - every day
•Weekly - select which days of the week
•Monthly - select which day of the month
- Go to Schedule and click Add Job
- Set the frequency:
- Set the start date and optionally an end date
- Set expected arrival time and estimated duration
- Set schedule days ahead - how far in advance future visits should auto-create
- Fill in the rest of the job details
- Click Save
provvio will then automatically materialise visits on the schedule going forward.
Viewing the Schedule
The schedule shows:
- Calendar view - all jobs on a monthly/weekly/daily calendar
- List view - a simple list of upcoming jobs
- Team view - each team member's schedule
Editing or Cancelling Jobs
One-off jobs: click on the job and edit or cancel it.
Recurring jobs:
- Edit this occurrence only - changes one instance
- Edit all future occurrences - changes the recurring pattern from now on
- Pause the job to stop auto-scheduling without deleting history
- Cancel a single occurrence or the whole series
Notifications
Team members receive notifications for new assignments, changes, and (on Pro) configurable SMS reminders to clients before scheduled visits.
Tips
- Set up recurring jobs for your regular contracts - it saves time and stops things slipping
- Use the team view to balance workload across the crew
- Set realistic estimated durations - the dashboard analytics use them to show how visits track against expectations
