Automatic Email Reports
How reports get sent to clients automatically
provvio can automatically email a proof-of-service PDF to your client when a visit is completed. This saves you time and keeps your clients informed without any manual effort.
How It Works
When a team member completes a visit (checks out):
- provvio generates the visit report
- A PDF report is emailed automatically
- The email includes a summary and the PDF as an attachment
Who Receives the Email
provvio sends the report to one recipient, in this order:
- The job's notify contact (if configured)
- The site's primary contact (if set)
- The client's email address (if no contacts are available)
Managing Recipients
- Go to Sites and open the site
- In Site Contacts, add or update the contact's email address
- Mark the right person as Primary
Email Timing
Reports are sent shortly after the team member checks out. This means your client gets the report while the visit is still fresh.
Tips
- Let your clients know they'll be receiving automatic reports: they'll love it
- Make sure client email addresses are correct before relying on automatic reports
- On the Business plan, upload your logo and set a default report template for the best impression
