Visit Reports
Understanding the visit summary
Every time a team member checks in and out of a site, provvio generates a visit report - a complete record of what happened during the visit.
What's in a Visit Report
- Arrival and departure time - check-in and check-out timestamps
- Duration - total time on-site
- GPS data - check-in and check-out coordinates plus accuracy and geofence status
- Team member - who performed the visit
- Checklist results - every item with its completion status, notes, and photos
- Before / during / after photos - general visit photos by category
- Signature - if captured at check-out
- Internal notes - staff-only notes that never appear in client-facing reports or the portal
- Client rating - if the client gave feedback through the portal
Viewing Visit Reports
From the dashboard: the home dashboard shows recent visits across the org. Click any visit to open it.
From a site:
- Go to Sites and open a site
- Open the Visits tab
- Click any visit to open it
From a client:
- Go to Clients and open a client
- Open the Visits tab to see visits across all of that client's sites
Filtering and Searching
Filter visits by:
- Date range
- Site or client
- Team member
- Status (scheduled, in-progress, completed, missed)
- Invoiced status (Pro)
- Report status (pending approval, sent, discarded)
Tips
- Internal notes are great for "the gate code changed" or "talk to Sarah next time" - they stay with you and out of the client view
- Use client ratings (visible in the dashboard and the Reports tab) to spot quality issues early
- Visit records are permanent. They can't be edited after the visit is completed.
