Generating proof-of-service PDFs

PDF reports are professional, printable documents that summarise a visit. They're perfect for sending to clients as proof of service.

Generating a PDF Report

  1. Open a visit record (from the dashboard, site, or client)
  2. Click Download PDF
  3. The PDF downloads to your device

Branding by Plan

How the PDF looks depends on your plan:

  • Essentials - clean default layout with your organisation name and a "Powered by provvio" footer
  • Pro - your logo and brand colours throughout, and you can turn on white-label to remove the Provvio attribution entirely

Set your logo and colours in Settings → Branding. Logos are normalised to a maximum of 200 KB so reports stay fast to render and email-safe.

Customising PDF Reports (Pro)

On Pro you can use Report Templates to control which sections appear, set primary and accent colours, and add header/footer text. See Report Templates.

What's in a PDF Report

  • Your branding (Pro) or organisation name (Essentials)
  • Client and site details
  • Visit date, time, and duration
  • Team member name
  • GPS check-in/out verification with map (configurable on Pro)
  • Checklist results with completion status
  • Notes added to items
  • Before / during / after photos
  • Signature, if captured

Batch Reports

Need PDFs for multiple visits?

  1. Go to Reports in the sidebar
  2. Filter by date range, site, client, or team member
  3. Click Generate Report
  4. provvio creates a combined PDF or a ZIP of individual reports

Tips

  • Upload a high-quality logo (PNG with transparent background works best) for the cleanest look
  • PDFs pull from stored visit data, so you can regenerate them at any time
  • Combine PDF download with Client Invoicing at month-end to attach proof to your invoices
