Report Approval Workflow

Review proof-of-service reports before they go to clients

For some clients, you want to look over the proof-of-service report before it lands in their inbox. Report approval makes that explicit per client.

Turning It On Per Client

  1. Go to Clients and open the client
  2. Toggle Require report approval on
  3. Save

Now any visit completed at this client's sites lands in Reports → Confirm Reports with status *Pending approval* instead of being emailed automatically.

Approving or Discarding a Report

  1. Go to Reports in the sidebar
  2. Open the Confirm Reports tab
  3. Review the visit - GPS, photos, checklist, notes
  4. Click Send to deliver the report (PDF email + portal entry), or Discard to mark it as not delivered

What "Discard" Means

Discarded visits stay in your records (they're still part of audits, analytics, and visit history) but no email goes out and the visit is hidden from the client portal. Use discard for genuinely problematic visits where you'd rather handle it offline.

Status Flow

  • Pending approval - waiting for action
  • Sent - delivered to the client
  • Discarded - explicitly held back

Tips

  • Pair approval with Internal notes on the visit so reviewers have context
  • For most clients, approval is overkill - reserve it for relationships where each report genuinely needs a human look
  • Don't let *Pending approval* visits pile up; clients notice if reports are slow
